Referrals

Overview

Submitting referrals is a great way to reach your Take it to 10 goals and build client relationships through merchant services referrals and information sharing with Capital City Bank (CCB) affiliates including:


Prior to sending a referral to a Capital City Bank Group affiliate, you must ensure the client has opted in to Affiliate Sharing. See See Regulation P > Client Opt-in/out Status Xperience for client opt-in/out status and details.

Create a Referral

To enter a referral for a client, do the following:

  1. In Xperience > Products > Synapsys CRM > Desktop. The Home/Suite Manager screen displays. 
  2. Click Full Search to access the Client Search fields.  
  3. Enter the client or business name. Note: Change the search type from the drop-down menu to the appropriate field. 
  4. Click Search. The client's 10 Second View screen displays.
    1. If the client does not have a profile in Synapsys, click Add Prospect
    2. Choose Add Personal Prospect or Add business Prospect. The Add Prospect dialogue box displays. Note: If you select the incorrect prospect type you can change it in the Add Prospect screen. 
    3. Enter the information. Note: Fields marked by an asterisk (*) are required.
    4. When prompted, click Build Profile.
    5. The new profile's 10-second view appears.
  5. Click New Event/Activity  > create new activity for client name > Referral (Individual)
  6. In the Referred To field, click the Search button. The Officer Search dialog box displays.
  7. In the Officer Name field, enter the officer's name or department's name.
  8. Check the Contains box by Officer Name.
  9. Click Search.
  10. Double-click the associate's name.
  11. Complete the fields as follows:
    1. Application- The business line/product/service for the referral
      • See Capital City Wealth: Investment Services Only Referrals Tab for disclosure requirements
      • Note: Not all referrals are for business lines or products. For Take it to 10 referrals, choose the item that best fits the action you have taken (for example: CCB Car Tag, New Hire Associate).
    2. Type (Optional) - Specific product(s) mentioned to the client
    3. Status - Automatically populates after referral is saved.
    4. Account Number (Optional) - The account number used for the new product/service  
    5. Branch - The office that receives the referral credit. 
      • Traveling Associates: Select the office you are working in at the time you make the referral.
    6. Needed By - Defaults to 3 day to remind officer of a waiting referral. 
      • If the referral has not been viewed by that  date, the system sends you an e-mail reminder to follow up.
      • This date can be adjusted as necessary to meet the client's needs.
    7.  Comments - enter all the details and information that your business partner needs to know to contact the client and begin the referral.
  12.  Click Save

Capital City Wealth: Investment Services Only Referral

Starting November 4, 2022, the SEC instituted a regulation that requires clients be given a new relationship disclosure when a referral is made for investment advisory services. The disclosure must be given at the time the referral is made. Note: Additional disclosure give ones are ordered with Forms Management Inc. (FMI) using item #00044040. 

In Person Referrals

Marketing has provided offices with give-ones containing the short-form disclosure. Anytime a Capital City Wealth: Investment Services referral is made, the associate is required to provide the client with a give-one.

Not In Person Referrals

Marketing has provided an e-mail template for use with referrals made by phone, chat, Interactive Teller Machine (ITM), or e-mail conversation. 

For a preformatted e-mail insert that is ready to send when you make the referral, create an Outlook Quick Part (Auto Text) using the downloadable e-mail template linked below.

  • Note: When using a Quick Part you need to add the Subject Line from Marketing each time you send the e-mail.
