ITM Servicing Procedures

The following procedures are for the servicing of ALL Capital City Bank (CCB) Interactive Teller Machines (ITM’s) on the Fiserv Network.

Required Service Expectations

The messenger is required to speak with a Virtual Banker (VB) prior to leaving, to confirm all totals are correct, all cassettes/bins (dispense, acceptor, and divert) are properly seated and locked in place, and there are no errors.

  • Front Load ITMs – Messengers are to tap the screen to speak with a VB
  • Rear Load ITMs – Messengers are to call one of the contact numbers provided in the machine or on the vault door.
  • Servicing of coin is always required.
  • Ensure all cash cassettes and coin hoppers are emptied, totals cleared to 0.00, and new cash and coin are added accurately. 
  • Check receipt paper and ink cartridge stock, replacing them as necessary to ensure there is enough stock to last until the next service. 
    • Note: Additional supplies are kept either inside the ITM or the office. If the paper or ink are not available, contact a VB by tapping on the ITM screen or calling one of the numbers located inside the ITM.
  • ALL residual and divert bin cash is to be processed as a deposit to Truist.
  • ALL residual and divert bin checks are to be placed with acceptor checks.
  • When servicing is complete the messenger should have a total of 3 bags:
    • Residual cash/coin – Deposit to Truist account with receipt
    • Acceptor Cash – Deposit to Truist account with receipt
    • Acceptor Checks – Leave at designated office with the copies of receipts
 

ITM Alarms

Prior to servicing, it is the responsibility of the messenger to disarm any alarms.  If an alarm panel is not located inside the ITM for disarming, messengers are required to enter the building to disarm the ITM prior to beginning service.

  • Servicing that occurs outside of operating hours require the messenger to disarm both the building alarm and ITM alarm.
  • Once servicing is complete, ALL alarms are to be re-armed.

 

Note: Separate instructions for arming/disarming alarms are provided to the local Brinks branch servicing the specific ITM.

 
 

Settlement and Image Deposit Pull Procedures

Supervisor Mode

  1. Switch the Interactive Teller Machine (ITM) to Supervisor.
    • Note: On a front load ITM that does NOT have a Normal/Supervisor switch, simply open the ITM door/fascia and the ITM should go into Supervisor. There is a switch that monitors if the ITM door/fascia is open or closed and when it is opened, the switch will act as the Normal/Supervisor switch.
  1. Pull the receipt printer mechanism back into the “service” position. Receipts will now print inside of the ITM/building, preventing them from printing to the outside, and be taken from the printer transport. On a front replenish it is NOT necessary to place the receipt printer into the “service” position. The receipts issued during rear settlement will come out the front of the ITM as usual.
  2. If a fault exists, press CNL to exit.
  3. Once in Supervisor mode, select Settlement
 
 

Printing Subtotals: 2 copies

Two copies of the subtotals need to be printed. One copy is placed in the bag with the deposits; the other copy is for the technician's records.

  1. From the Settlement screen, select Host Settlement > Print Subtotals
    • Note: After each selection, there may be a brief period where the ITM screen displays Please Wait before the screen is displayed.
  2. From the Host Settlement screen, select Print Subtotals.
    • The ITM will print and deliver a receipt that is used to determine if any of the amounts need to be increased or decreased.
  1. To return to the Host Settlement screen, press Enter.
 
 

Zero Out the Machine

  1. From the Host Settlement screen, select Mid-Point Decrease
  2. This opens the Select Cannister Type screen. 
  3. Select the bill denomination (Type) to decrease.
  4. Enter the dollar amount from the Print Subtotals receipt to reduce the denomination amount to zero. 
    • The cent placeholders must be included.
    • For example: $2,000.00 is entered as 200000.
  1. Select Enter.
  2. The following options display:
    • Accept the amount entered
    • Change the amount
    • Cancel and return to Host Replenishment
  1. Repeat steps 2-4 for each denomination (Type) of cash being added or subtracted from.
  2. Select OK to continue. 
  3. After a brief period where the ITM screen displays Please Wait – Processing, the ITM prints an adjustment receipt. 
  4. The screen should now say Your Transaction is Complete.
  5. Select Enter to return to the Host Settlement screen.
  6. Select Exit Supervisor
  7. Receipts will print. 
  8. Select Enter to exit supervisor mode.
 
 

Return to Supervisor Mode

  1. Switch ITM to Supervisor
    • Note: On a front replenish ITM that does NOT have a Normal/Supervisor switch, simply open the ITM door/fascia and the ITM should go into Supervisor. There is a switch that monitors if the ITM door/fascia is open or closed and when it is opened, the switch will act as the Normal/Supervisor switch.
  2. Pull the receipt printer mechanism back into the service position so that when receipts are printed during rear settlement you can remove them from the printer transport, and they will not be sent outside of the ITM. 
    • On a front replenish it is NOT necessary to place the receipt printer into the “service” position. The receipts issued during rear settlement will come out the front of the ITM as usual.
  1. If a fault exists, press CNL to exit.
  2. Once in Supervisor mode, select Settlement
 
 

Printing Subtotals a second time

Two copies of the subtotals need to be printed. One copy is placed in the bag with the deposits and the other copy is for the technician's records.

  1. From the Settlement screen, select Host Settlement
    • Note: After selecting the Host Settlement screen, there may be a brief period where the ITM screen displays Please Wait before the screen is displayed.
  2. From the Host Settlement screen, select Print Subtotals
    • Note: After a brief period where the ITM screen displays Please Wait – Processing, the ITM will print and deliver a receipt. This will help determine if any of the amounts in the hoppers need to be increased or decreased.
  1. Press Enter and the ITM will return to the Host Settlement screen.
 
 

Adding Cash

  1. From the Host Settlement screen, select Mid-Point Increase
  2. This opens the Select Cannister Type screen. 
  3. Select the bill denomination (Type) to increase.
  4. Enter the dollar amount to increase the selected denomination (Type).
    • Note: The cent placeholders must be included.
    • For example: $2,000.00 is entered as 200000.
  1. Press the ENTER key. 
  2. The following options will be displayed:
    • Accept the amount entered
    • Change the amount
    • Cancel and return to Host Replenishment. 
  1. Repeat steps 2-4 for each denomination (Type) of cash being added or subtracted from. 
  2. To continue, select OK
  3. After a brief period where the ITM screen displays Please Wait – Processing, the ITM prints an adjustment receipt. 
  4. The screen should now say Your Transaction is Complete.
  5. To return to Host Settlement, select Enter.
 
 

Print Local ITM Counts

  1. From the Settlement screen, select Local Counts.
    • Note: The options displayed on the Local Counts screen will vary based on the hardware installed on the ITM.
  2. To print all the local counters, select Print Counts.
    • Note: Depending on the hardware installed you may get 1 or 2 receipts with the local counter data printed on it.
  1. To return to Local Counts, select Enter.
  2. After successfully printing the local counters, clear all the counters. by selecting each clear command. For example: To clear cash, press Clear Cash Deposit and the ITM will present a receipt with the current local cash counters, and then you would press Enter to return to the Local Counts screen and proceed to the counter to be cleared.
    • Repeat this process until all the clear commands on the screen have been completed.
    • Note: Place a copy of the receipts in the bag with the deposits
 
 

Coin Totals

To Clear Coin:

  1. From Host Settlement, select Settlement.
  2. Select Local Counts.
  3. Select Print Counts.
  4. Select Clear Coin.
  5. Select Enter.

 

To Add Coin:

  1. From Host Settlement, select Settlement.
  2. Select Local Counts.
  3. Select Add Coin.
  4. Use the denomination option to enter the coin count for each denomination being added. 
    • For example: 1 roll of nickels contains 40 coins. If 2 rolls of nickels are being added, increase the current coin total to 80.
  1. Select Enter.
  2. Repeat the above steps for each coin denomination.
  3. Select Return.

 

To Subtract Coin: (Only use this step if a coin amount was entered incorrectly or if a coin was removed from a coin bin.)

  1. From Host Settlement, select Settlement.
  2. Select Local Counts.
  3. Select Subtract Coin.
  4. Select the hopper that requires adjustment.
  5. Update the count by entering the corrected coin count.
  6. Select Enter.
  7. Repeat for each denomination requiring adjustment.
  8. Select Return.
 
 

Leave the ITM in Settlement Mode and perform the following functions:

Deposit Pull

  1. Check the Divert Bin (Reject/Purge Bin) for diverted cash or checks. Remove all items found within the bin.
  2. Empty the depository (checks and cash). 
  3. Place all items in the tamper resistant bags.
  4. Check ALL paper supplies and perform any service tasks at this time. 
    • Note: If there are any issues you cannot correct, call and report them to Capital City Bank. Contact phone numbers are provided within the machine or on the vault door.

 

Depository (dispenser) cash is returned to Truist for deposit to the appropriate CCB account. 

 

Check deposits are given to the office associates. If ITM is offsite, deliver the checks to the assigned office.

 
 

Exit Supervisor

  1. Ensure cash and checks are removed from the cash acceptor, reject, and check bins.
  2. Ensure all cassettes are seated properly, this includes the cash, divert, and acceptor bins.
  3. When loading coin, ensure the hoppers are properly seated in the machine.
  4. Press Exit Supervisor
  5. Receipts will print.
  6. Ensure all check have passed. If any faults are listed, make sure those have been cleared before continuing.
    1. If faults are found, press Return to Supervisor Mode.
    2. If there are no faults, press Enter to exit supervisor mode. 
  1. Ensure vault door is locked and combination spun off.
  2. Close the machine.
 
 

 

 
 

Required Verification with CCB Associate

THIS IS A REQUIRED STEP AT ALL ITMS BY ALL MESSENGERS.

 

During Normal Operating Hours for Virtual Bankers – 7:00 a.m. – 8:00 p.m.

THIS PROCESS MUST BE PERFORMED BEFORE LEAVING THE DEVICES AND THE LOCATION.

  • If the ITM is a rear loader, call the CCB associate contact number to confirm all totals are correct and the ITM has no errors.
    • There is a list of CCB contacts posted inside the machine or on the vault door.
  • If the ITM is a front loader, tap the screen to speak with Virtual Banker.
  • After receiving confirmation that totals and statuses are correct, place the machine back into normal service mode (Client access).
 
 

Outside of Normal Operating Hours (exception)

  • Messengers are to provide a duplicate copy of the machine receipts to their local branch supervisor.
  • If required, Capital City Bank will request copies of the receipts from the local branch supervisor.
