To keep track of our tasks and completed correspondence, and keep the Bank Direct Chat (BDC) inbox organized, monthly folders and correspondence must be added moved and deleted each month.
Note: It is important to always keep folders for both the current and previous months.
Complete this monthly task by following the steps outlined below:
- In Outlook, open the Bankdirectchat@ccbg.com account.
- In the Bank Direct Correspondence > current year folder, add a new folder for the current month.
- To add a new folder, right click on the year and select New Folder from the menu.
- Name the new folder for the current/next month. (For example: If you are creating the folder on 5/29, name the new folder 6. June)
- At the beginning of every month complete the following:
- Delete the previous month's folder from the deleted items folder. (For example: If it is now June, delete the April folder from the Deleted Items folder.)
- Copy the items from the last month into the share drive.
- In File Manager open the J: (Operations) drive > Client Service Center > Correspondence > Bankdirectchat@ccbg.com > Year > Month folder.
- Back in Outlook open the corresponding month's folder and select all items (ctrl + A) in the folder. (If the month is now June you should be selecting everything in the folder labeled May.)
- Once everything is highlighted, copy it (ctrl + C).
- In File Manager, paste all copied items (ctrl + V) into the corresponding month's folder on the share (J:) drive.
- Move the previous month folder, and all items in it, from Bank Direct Correspondence to Deleted Items.
- Repeat the process every month.
Note: When sending e-mails for Correspondence from PhoneAccess, they must be moved to and saved in the Client Services Sent box in Outlook after they have been sent. If not moved, PhoneAccess automatically deletes them within a few hours.
