Releasing Pre-Authorization Holds

In certain circumstances we can release pre-authorization holds for clients if the merchant is willing to send in a letter. 

The merchant can send a written notice in 1 of 2 ways:

  • Send a fax to Bank Direct at 850.402.7449 or 
  • Ask the merchant to send the letter to the client to forward to the bank through their Bank Online messages

 

The notice must be on the merchant's official letterhead and state the merchant will not be collecting on the held funds.

Save the notice once received and do the following:

  1. In Xperience > Customer & Account Inquiry search for the client's account.
  2.  Click the CRM icon to open Synapsys. 
  3. Click New Event/Activity > Create New Event > Service Session to open the service session menu.
     
  4.  Select +Deposit Services > DS-OTHER MAINTENANCE.
  5. Complete the following fields:
    • Summary: Release Pre-Authorization Hold
    • Account Number/Type: Select the account with the hold on it. 
    • Comments: Request DS set the days holding on held charge (merchant name + amount) to 0.
    • Attachments: 
      1. Click Add New.
      2. In the Add Attachment window, click the ellipses to browse for the previously saved merchant's letter. 
      3. Complete the rest of the required fields, Caption and Description
      4. Click Submit.
  6.  Click Save > Save and Submit Session.
  7. The funds will release during overnight processing.

Note: If a memo credit needs to be added to the account, e-mail SupervisorsCSC.
