How To Insurance Claim

An Insurance Claim must be filed when there is damage to our real estate collateral. This can occur at any time. 

Insurance Claim Procedures need to be completed when the insurance company has provided a check to our client made payable to client and the bank. 

For insurance claim procedures pertaining to non real estate collateral, contact the Collections Department.

 

If the check is $5,000 or less

  1. In Xperience > Customer and Account Inquiry (Silverlake), enter the account number.
  2. Under Account Inquiry > Account > Payment, check the Past Due Date.
     
  3. If the loan is past due, contact the Collections Department for assistance. 
  4. If the loan is in a current status, an officer may endorse the check on behalf of the bank. No inspection is required.
  5. E-mail a copy of the the following to _Loan Service Insurance:
    • Check
    • Any insurance claim documentation
 
 

If the check is greater than $5,000

The borrower must endorse the insurance check and the bank will hold the funds in a restricted escrow account. 

  1. Verify with the client, the address on file is the current mailing address.
  2. Credit the check to the Loans In Process (LIP) General Ledger(GL).
    1. Fill out a LIP GL ticket with detailed information.
    2. Run the ticket and check together in the teller work.
  3. E-mail copy of the following items to _Loan Service Insurance:
    • Check
    • LIP ticket
    • Insurance Company Adjustment report
  4. Once the claim has been received by Loan Servicing and set up with the Loss Draft Department, a notice with instructions for making disbursement requests will be mailed to the client. 
  5. The claim is managed by the Loss Draft Department of Proctor Financial, and the client will follow the instructions to make disbursement requests.
 
 

Sample Letter

Thank you for contacting Capital City Bank. We are sorry to hear about the damage to your property and understand how stressful this situation can be. We are committed to processing your claim and helping you put things back to normal as quickly as possible. 

Your claim check has been deposited into restricted escrow on your mortgage account, and associates in our Loss Draft Department will process all disbursements of your claim funds on your behalf.

You may be asked to provide additional information. In the event that is necessary, we will contact you, but you may want to have the following handy to ensure we can move quickly on your behalf:

  • Signed and accepted contractor's proposal
  • Contractor's signed  and completed W9 form 
  • Contractor's license and proof of insurance
