Overview
The terms and conditions in the Night Depository Agreement for Specialized Services indicate that night depository items, for the purpose of safekeeping, MUST be placed in a lockable container (A bag) purchased from Capital City Bank. Night Depository safekeeping deposits are held and NOT processed until claimed by the client or authorized person listed on the agreement.
Client's have 5 business days to claim safekeeping deposit items. On the second day, an attempt should be made to contact the client. If not claimed in 5 days, the bank has the authority to access the contents by any means necessary and credit the client's account.
Safekeeping deposits in a lockable container (A bag) not retrieved Monday through Friday before the close of business must be locked in the office vault overnight.
Night Depository deposits that are not in a lockable container (A bag) are processed following standard Night Depository Drop+Go processing procedures.
Handling Safekeeping Deposits
Safekeeping deposit in a lockable container (A bag) must be kept behind the teller line or in the vault during regular business hours until the client or authorized person is present at the bank for bag pick-up or processing.
When a Night Depository safekeeping client arrives, do the following:
- Identify the client.
- On the Business Account Night Depository Drop+Go Log, obtain the client or authorized persons signature in the Signature of Authorized Person or Person Obtaining Change Order column.
- The teller releasing the bag must initial the Business Account Night Depository Drop+Go Log in the Released By column.
- Give the safekeeping deposit bag to the client.
- The client or authorized person may leave the bank with the unopened bag or may open the bag and deposit the contents into the account indicated on the deposit ticket.
If not claimed in 5 days, the bank has the authority to access the contents by any means necessary and credit the client's account.
When opening an unclaimed Night Depository safekeeping item, ensure the following:
- Two associates must be present (dual control) to verify the contents (cash and checks) and process the transaction.
- Both associates must sign the deposit slip (first initial/full last name).
- Credit the contents on the day the bag is opened.
- Credit to the account is made only for the actual amount verified within the deposit. Refer to Night Depository Drop+Go Discrepancies Procedures.
The following information must be completed in the Authorized Person or Person Obtaining Change Order column of the Business Account Night Depository Drop+Go Log for the day the bag was originally dropped:
- Date processed
- Signature of both associates (first initial/full last name) who verified and processed the deposit
- Indicate any discrepancy between the actual deposit amount and amount listed on the deposit ticket.
