Bereavement

Use: The unfortunate death in the immediate family or step-family of an associate. 

Details: Immediate family loss qualifies for a maximum leave of three (3) days or a maximum of one (1) day for step relations. Additional time off may be granted with or without pay, depending on whether PTO is available. 

Eligible Associates: FT associates

Carryover (Rollover PTO)

Use: HR assigns this time code for documented medical leave (FMLA, ADAAA), military caregiver leave, military leave, and emergencies. Managers do not have access to this code.

Details: An emergency is an unforeseen circumstance that requires the associate’s absence from work. For example: Home fire, flood, severe weather damage to property, natural disaster. Submit the necessary Rollover Request form for approval according to the instructions.

Eligible Associates: All

Community Service

Use: Documented participation in community service activities. 

Details: Prior manager approval is required. 

Eligible Associates: FT associates

Dock Hours

Use: A shortage of hours occurs for the week due to unexplained tardiness, late arrivals, early departures, and when no PTO hours are available. 

Details: Associates do not receive pay for dock hours. 

Note: This pay code identifies when an associate does not work scheduled hours. By law, the Bank pays associates for all hours worked, including overtime. 

Eligible Associates: FT non-exempt

Family Medical Leave Act (FMLA)

Use: HR assigns this time code when an approved FMLA case exists. This code is used with the following events occur:

  • The birth of a child and the care of a child after birth or adoption or placement in the associate’s home for foster care
  • The care of a covered family member (spouse, child, or parent) with a serious health condition
  • In the event of an associate’s own serious health condition
  • Military leave or to care for a military relative

Refer to the Associate manual and/or a Human Resources Consultant for additional guidance.

Eligible Associates: Contact the HR/Benefits team with questions about eligibility.

Holiday

Use: A system issued time code for the observance of designated federal holidays where offices are closed.

Details: Managers, add this pay code for PT20 associates only when scheduled to work on a bank-observed holiday.

Eligible Associates: FT associates and PT20 in some situations.

Jury Duty

Use: Associates are called to appear or serve on a jury selection committee.

Details: Associates must submit the original summons to their manager with as much advance notice as possible. Associates should report for work on their next regularly scheduled hour after being dismissed from any jury. 

Eligible Associates: All

Paid Time Off (PTO)

Use: Paid time off requests. 

Eligible Associates: All

Paid Time Off (PTO) Unscheduled

Use: Paid time off requests where a formal request was not submitted.

Details: SIck days are a typical use of PTO unscheduled days. 

Eligible Associates: All

Training

Use: Record and track associate training hours, both for programs offered internally and external programs attended.

Details: Attendance and time codes require manager approval. 

Eligible Associates: All

Travel

Use: Record and track travel hours when an associate is required to travel outside their market for bank business.

Details: Contact a Human Resources Consultant (HRC) for guidance. 

Eligible Associates: All

X-Trained

Use: Tracking how many hours a week and associate performed in an cross-trained capacity.

Details: Only used for reporting purposes.

Eligible Associates: All cross-trained associates
