Reserving a Meeting Space with Outlook's Room Finder

Capital City Bank (CCB)'s main meeting spaces have been added to Outlook's Room Finder. You no longer need to add your meeting to a room's calendar, you can use the Scheduling Assistant and Room Finder to help schedule your meetings.  Read through the accordions to learn how to use Room Finder.

Scheduling a Room for Specific Date and Time

Rather than scheduling a meeting and a room in 2 separate calendar invites, Room Finder adds the selected meeting space as a required attendee when you create and send your meeting invite. 

 

To schedule a meeting in a space, do the following:

  1. In Outlook > Calendar, click New Meeting.
  2. Add the following:
    • Required attendees (can be associate names, individual e-mail addresses, or e-mail groups)
    • Start date and time
    • End date and time
  3. If the Room Finder panel is already open on the right side of your meeting invite, click on the Suggested Time that corresponds to your meeting time. 
    • Note: The date in the Room Finder calendar presets based on your Start date.
  4. A list of available rooms populates in the Room List about the Suggested Times list.
  5. Click on the available room you want to use for your meeting. This adds the room as a required attendee and as the Location.
  6. Complete the body of the invitation and click Send.
  7. If scheduling was successful, you'll receive a confirmation e-mail.
  8. If the room is unavailable, or you do not have permission to book that room, you'll receive a declined e-mail. 
    • Note: If the room is already booked, the e-mail tells you the name of the Organizer and Time of Conflicting Meeting.
 
 

Scheduling a Room for Any Available Date and Time

If a meeting has multiple attendees and busy conference rooms, it can be difficult to find a time that works for everyone. To find availability for people and rooms, use the Scheduling Assistant.

  1. From the menu, select Scheduling Assistant.
  2. If you added all your required attendees in the Meeting window, they populate in the Attendees list on the left. If not, you can add the names here.
  3. Once all attendees have been added, select the meeting room(s) at the location where you want to have the meeting from the Resource list. 
  4. Scroll through the availability planner to the right to find an available time and place that works for all attendees and the selected resource(s).
  5. Alternatively, you can use AutoPick to let Outlook select the earliest suitable date and time for your meeting.
    1. In the ribbon, click AutoPick.
    2. From the drop-down menu, select All People and Resources
      • Note: Make sure to check the box next to all rooms you wish to see the availability of.
    3. If you had multiple rooms selected for checking availability, uncheck the resources you do not want to reserve. 
      • If you do not uncheck the resources, they will be reserved when you send the meeting invite. 
    4. Once you have selected a date, time, and space for your meeting, return to your invite by clicking Meeting
    5. Complete the body of your invite and click Send.
  6. If scheduling was successful, you'll receive a confirmation e-mail.
  7. If the room is unavailable, or you do not have permission to book that room, you'll receive a declined e-mail.

Adding Room Calendars to Your Calendar

If you would like to keep track of room reservations and availability, you can add the rooms' calendars to your Calendar view. 

  1. In Outlook > Calendar, right-click on My Calendars.
  2. Click Add Calendar to open a drop-down menu.
  3. Select From Room List.
  4. In the All Rooms window, select the rooms you wish to add to your calendars.
  5. Click OK.
  6. If you have permission for the rooms, they will be added to your calendar view.
