Associate expenses, mileage and cash reimbursement

Banktel Access

Bookmark this link to access Banktel and use the login credentials below. If you already have a Banktel login, please continue to use your existing username and password.

  • Username: Same as CCB network user name
  • Temporary Password: Password#1 
The first time you log in you will be directed to change your password. It will then ask you to sign in again. When you do, you will get the screen below. An email will be sent to you with a verification code.

Mileage & Cash Reimbursement Expenses

Click on the accordions below for procedures on how to submit and approve mileage and cash reimbursement expenses.

Submitter

To enter cash and personal credit card expense reimbursements in BankTEL, do the following:

  1. Log in to Banktel.  The apps menu displays. 
  2. Click Expense Reimbursement. 
  3.  Click the plus + sign to create a new expense report. 
  4. Click Expense Report from the drop down menu displayed.
  5. Enter a report name. Note: The report name MUST always start with your name.
  6. DO NOT check the corporate card box.
  7. Click Save.
  8. Choose one of the following: 
    1. Add Mileage
      1. Complete all information.
      2. In the Expense Category field, choose Mileage Rate.
      3. Click the pencil to upload attachments as required.
      4. Click Save.
      5. Your report will go to your approver.
    2. Add Expense
      1. Enter the date and expense amount in the fields displayed.
      2. In the Descriptionfield, enter your Name and a description for the expense (what was the expense for).
        • Note: If your name is not listed, the report will be denied by Financial Accounting.
      3. Click on the magnifying glass to select your expense category.
        • In the search bar you can type the name of the expense or just a few letters and the categories will appear.
        • If you choose Client or Associate Meals, you must enter the attendees in the additional information section.
      4. Click the pencil to upload attachments as required.
        • Note: ALL cash/personal credit card reimbursements require receipts.
      5. Click Save.
        • If you receive an expense policy violations message, correct errors before submitting to your approver.Delete
  9. Once all mileage and expenses are created, click Submit.
  10. The following message displays. Click Yes.
  11. Your report will go to your approver.

Approver

To approve expense reports do the following:

  1. Log in to Banktel. The apps menu displays. 
  2. Choose the Approval module.
  3. If there are any reports to approve your screen will look like this. Click Go to Approval.
  4. Each report ready to be approved will be listed below. To view the report, click the report name.
  5. The report details display. Scroll to the bottom of the report to see any attachments submitted. 
  6. Once verified and ready to approve or deny the report, click the red "X" in the top right-hand corner to get back to the approval screen.

Note: Once you click the "X", the following message appears.

Note: If you decline the report, a pop-up window displays. Type a reason why the report was declined.

Once the report has been approved it will go to Financial Accounting for the last step of the approval and then be processed and paid.

Corporate Credit Card Expense 

Click on the accordions below for procedures on how to submit and approve corporate credit card expenses. 

Submitter

To enter corporate credit card expense transactions in BankTEL, do the following:

  1. Log in to Banktel. The apps menu displays. 
  2. Select Expense Reimbursement. 
  3. If you have something to process, a number besides zero will show up in the unsubmitted box. Click on the number. 
  4. Your unsubmitted reports will appear. Select which report you would like to process. Note: Everything that was posted to your corporate card the week prior will appear on this report.

  5. Click Edit.
  6. Enter your name at the beginning of the report name 'week ending Month/date'. For example: John Doe week ending Sept 26h.
  7. Click Save.
  8. Exit out of the What would you like to do next? prompt.
  9. Verify your expense category and your account number segment are correct.
  10. Click the pencil icon to the left of the transaction if changes need to be made.
    • Edit the description to display your name along with what the expense was for.
    • Update the expense category if required.
    • If you choose Client or Associate Meals, you must enter the attendees in the additional information section.
    •  
    • Attach receipts for anything over $50.00. 
  11. Click Save.
  12. Each time you save a transaction the following box appears
  13. Click the X if you need to make changes to other transactions. 
  14. Once completed with changes, click Submit Expense Report.
  15. If you receive an expense policy violation message like below, please make sure to correct the errors before you submit to your approver.
  16. You will receive the message below, click Yes.

Note: The reports will then go to your approver for review.

Approver

To approve expense reports do the following:

  1. Log in to Banktel. The apps menu displays.
  2. Select Approval.
  3. If there are any reports to approve your screen will look like this. Click Go to Approval.
  4. Each report ready to be approved will be listed below. To view, the report click the report name.
  5. The report details display. Scroll to the bottom of the report to see any attachments submitted. Once verified and ready to approve or deny the report, click the red "X" in the top right-hand corner to get back to the approval screen.

Note: Once you click the "X", the following message appears.

Note: If you decline the report, a pop-up window displays. Type a reason as to why you declined the report.

    6. Once the report has been approved it will go to Financial Accounting for the last step of the approval and then be processed and paid.
