Manual Transaction Processing

When associates are unable to access Xperience Teller and the office still has power, Manual Transaction Processing is used to continue conducting transactions for clients.  

For all deposits made, the client must have all documents filled out. If the client does not have proper documentation, it must be obtained before proceeding with the below transactions.

Guidelines

Prior to processing any transactions the following guidelines must be adhered to. If unable to access the online Teller Manual, contact Call Me Direct (CMD) ext. 397100 or your Regional Experience Manager (RXM). 

Inquire on Client Account Information:

  • In Synergy refer to Trial Balance reports and other account information listed below. Client balances from the last processing date are available if Synergy is functioning.
    • Reports:
      • DD 5850 Trial Balance/Office
      • DD 5852 Trial/Alpha
      • DD 3000 STP/HDL TR (Stop/Hold Journal)
      • LN 3020 Alpha Loan Trial Balance

Manual Transaction Log

All transactions must be recorded on a Manual Transaction Log. A new transaction log must be used for each day you process transactions manually. 

Before processing a transaction, complete the transaction log legibly as a copy may be requested by Financial Accounting to aid in balancing the teller drawer. Enter the following on the Manual Transaction log:

  • Processing associate name
  • Drawer number
  • Office name
  • Date 
  • Transaction number (always start each day with "1").
  • Identify whether the person is a client (C) or non-client (NC).
  • Client or non-client identification number (for example: DL number, Passport number)
  • Client CCB account number
  • Transaction type
    • Abbreviate using the 1st letter of each word for example:
      • BC - Buy Cash
      • SC - Sell Cash
      • CD - Checking Deposit
      • SD - Savings Deposit
      • SW - Savings Withdrawal
      • CW - Checking Withdrawal
      • LP - Loan Payment
      • SBR - Savings Bond Redemption
  • Cash-in or cash-out amount
  • Total amount of the transaction (if all check deposit enter check total)
  • Page number


Each manual transaction log must be retained for 2 years for the applicable teller. The log must be retained if it was used to process transactions even if Xperience Teller becomes available.

Add the Cash-In and Cash-Out amounts and enter the totals in the appropriate section at the bottom of the login the Cash-In/Cash-Out Total section. Total each sheet separately. These amounts will be entered into Xperience Teller to bring your drawer in balance. Refer to the Balancing article for complete instructions.

Cash and Checks

When counting cash, use a currency counter or adding machine if available and retain the tape. 

Otherwise, use a calculator (hand held or on the computer). All cash must be counted twice.

Deposits or Loan Payments

CASH Deposit or Loan Payment with no cash back

  1. Legibly complete the manual transaction log.
  2. Count cash twice, using an adding machine/calculator.
  3. Write out a receipt (for deposit/loan payment amount) for the client using a duplicate receipt.
  4. Give the client the original receipt and keep the duplicate.
  5. Write out a cash-in ticket for the cash amount.
  6. Teller Stamp items in blank area.
  7. Put in teller work bin with other transactions.
  8. Process in Office Capture.


CHECK Deposit or Loan Payment with no cash back:

  1. Legibly complete the manual transaction log.
  2. Write out a receipt (for deposit/loan payment amount) for the client using a duplicate receipt.
  3. Give the client the original receipt and keep the duplicate.
  4. Teller Stamp items in the blank area.
  5. Put in teller work bin with other transactions.
  6. Process in Office Capture.


CASH Deposit or Loan Payment with cash back:

  1. Legibly complete the manual transaction log.
  2. Count cash twice, using an adding machine/calculator.
  3. Write out a cash-in ticket for the cash amount.
  4. Write out a receipt (for deposit/loan payment amount) for the client using a duplicate receipt.
  5. Give the client the original receipt and keep the duplicate.
  6. Remove the applicable cash from your drawer and use an adding machine to verify the cash amount. Count currency with adding machine twice.
  7. Write out a cash-out ticket for the less cash amount.
  8. Teller Stamp items in blank area.
  9. Put in teller work bin with other transactions.
  10. Process in Office Capture.


CHECK Deposit or Loan Payment with cash back:

  1. Legibly complete the manual transaction log.
  2. Write out a receipt (for deposit/loan payment amount) for the client using a duplicate receipt.
  3. Give the client the original receipt and keep the duplicate.
  4. Remove the applicable cash from your drawer. Count currency twice with adding machine/calculator.
  5. Write out a cash-out ticket for the 'less cash' amount.
  6. Teller Stamp items in blank area.
  7. Put in teller work bin with other transactions.
  8. Process in Office Capture.

Checking Withdrawal and Cashed Checks

When processing a Check Withdrawal or Cashing a Check:

  1. Legibly complete the manual transaction log.
  2. Write a cash-out ticket for the withdrawal/check amount.
  3. Remove the applicable cash from your drawer. Count currency twice with adding machine/calculator.
  4. Teller Stamp items in blank area.
  5. Put in teller work bin with other transactions.
  6. Process in Office Capture.

Savings Withdrawal

When processing a Savings Withdrawal

  1. Legibly complete the manual transaction log.
  2. Write out a cash-out ticket for the withdrawal amount.
  3. Remove the applicable cash from your drawer. Count currency twice with adding machine/calculator.
  4. Teller Stamp items in blank area.
  5. Put in teller work bin with other transactions.
  6. Process in Office Capture.

Currency Transaction Report (CTR)

Complete a paper CTR if processing a transaction with cash greater than $10,000. This may be for a single or multiple transactions. Send the CTR to the BSA Department, West Tennessee Office.

Money Instrument Log (MIL)

Complete a paper MIL (Official Bank Check Log) if a monetary instrument is purchased with cash $3,000 to $10,000 (Cashier Check and Money Order). Send the MIL to the BSA Department, West Tennessee Office.

Place a Hold

Complete a pre-printed CCB Notice of Hold.

Use a CCB pre-printed Cashier's Check or Money Order.

Handwritten Cash-In/Out Tickets

Cash-In

For any transactions requiring a cash-in ticket complete the following steps. To hand write a cash-in ticket: Legibly write on your cash-in ticket:

  • The dollar amount
  • The date
  • The transaction number (assigned on the Transaction Log)

For any transactions requiring a cash-out ticket complete the following step. To hand write a cash-out ticket: Legibly write on your cash-out ticket:

  • The dollar amount
  • The date
  • The transaction number (assigned on the Transaction Log)

Manual Receipt Book

All clients must receive a receipt for their transaction. After you have completed the transaction for the client, legibly complete a client receipt and give the top copy of the receipt to the client. The carbon copy of the receipt will remain in the receipt book. Use one receipt per transaction. Even if you process multiple transactions for the same client, do not use one receipt.
