Correspondence Procedures

By Mail

Do the following:

  1. Mail to the address on file.
    1. Fully verify the client by Reg P identifiers.
    2. Note: If the client has updated his/her address recently, wait 10 business days before mailing the correspondence:
  2. Complete and mail within 24-48 business hours.
 

By Fax

Do the following:

  1. Obtain a written request. 
  2. Quote 24-48 business hours to complete the request.
  3. Complete the request.
 

By Online Banking Services (BOL)

Do the following:

  1. Send it to the client's Message Center as a PDF. 
  2. Quote 24-48 business hours to complete the request.
  3. Complete the request.
 

By Email

  1. Obtain a written request. (Written request are not required for indirect loan only clients when sending to an email that has been on file for 10 business days.)
  2. Quote 24-48 business hours to complete the request. 
  3. Complete the request. 
  4. Send the client a secure email with instructions on how to open it.
 

Scan

Attach the documents to be scanned to account for the email.

 


Correspondence Requests

When a client requests an item or document be sent to them, the Direct Banker (DB) forwards a request to the Correspondence Team. The Correspondence Team ensures clients receive the requested documents in a timely and secure manner. 

To ensure there are no delays in fulfilling the client's request, follow the instructions listed in the appropriate accordion. 

Note: You are responsible for correcting all incomplete/inaccurate requests by contacting the client to obtain the correct information.


By Mail

Do the following:

  1. Determine the client's needs.
  2. Verify the client's mailing address. 
    • Note: If the client has updated his/her address recently, wait 10 business days before mailing the correspondence. 
  3. Assess any fees related to the request.
    • For a list of fees related to correspondence requests, see the Fees tab. 
    • The Direct Banker is responsible for assessing the fees related to a clients request to receive documents, NOT the correspondence associate. 
  4. Research and download the requested documents or images. 
  5. Submit the request using the Correspondence Quick Step set up in Outlook. 
    • Make sure to attach any requested documents.

By Online Banking Services (BOL)

Do the following:

  2. Assess any fees related to the request. 
    • For a list of fees related to correspondence requests, see the Fees tab. 
    • The Direct Banker is responsible for assessing the fees related to a clients request to receive documents, NOT the correspondence associate. 
  3. Research and download the requested documents or images. 
  4. Submit the request using the Correspondence Quick Step set up in Outlook.
    • Make sure to attach any requested documents.

  1. Discover the client's needs
  2. Inform the client that they must send written authorization stating: 
    • What they want 
    • Where and how they want it sent
    • Account number 
    • Last 4 of their Social Security Number 
    • A PHYSICAL signature
  3. Send a request to Correspondence to send a Secure Online Transfer (SOT) link to the client's email. 
  4. Once client returns SOT, correspondence will assess the fees and send what's requested to the client via fax. A wrap up in Finesee will be added.

Note: indirect loan only clients can have documentation emailed with no written request as long as going to the email address on file.

Send to a Third Party

Do the following:
  1. Determine the client's needs .
  2. Inform the client that they must send written authorization stating: 
    • What they want 
    • Where and how they want it sent 
    • Account number 
    • Last 4 of their Social Security Number 
    • A PHYSICAL signature
  3. Send a request to Correspondence to send a SOT link to the client's email. 
  4. Once the SOT is returned, correspondence will assess the fees and send the requested information. A wrap up will be added in Finesee.

Client Needs to Send Information Securely

Note: This is for requests that are for account changes that require written permission to complete, such as reactivating dormant accounts or certain closings.

Do the following:
  1. Address the client's needs.
  2. Inform the client that they must send written authorization stating: 
    • What they want 
    • Where and how they want it sent 
    • Account number 
    • Last 4 of their Social Security Number 
    • A PHYSICAL signature
  3. Send a request to Correspondence to send a Secure Online Transfer (SOT) link to the client's email.
  4. Once the client returns the SOT, correspondence will handle charging fees and sending the requested information. A wrap up will be added in Finesee once this is done.

Remotes Only

For stop payments, AFT's, and sweep's, email bankdirectchat@ccbg.com with the form to be printed/ stamped/ and scanned in the daily work. 



Fees 

The Direct Banker is responsible for assessing the fees related to a clients request to receive documents, NOT the correspondence associate.

  • Statement Copy fee:  $5.00 per statement copy - DB assesses this fee under Service Fees > Statement Fee 
  • Statement Copy fee for research if more than 6 months of Statements are requested:
    • This requires a Synapses Event. 
    • Inform the client there is a $25.00 per hour rate for the research with a 1 hour minimum. 
    • When doing a synapsys event for research, deposit services will charge the research fee + the $5 statement fee. DB does not need to charge any fees. 


  • Check Image Copy fee:  $1.00 per check image, not per page.


  • Loan Documents do not accrue fees.
