Requesting Contents of Safe Deposit Box after Box is Drilled

Two authorized associates are required to sign the Vault Entrance Log to obtain the contents of a drilled box from the vault, following dual control procedures. When a client comes in requesting the contents of a drilled safe deposit box after it is drilled, do the following:

  1. Identify the client. Refer to Identification Verification Procedures.
  2. Complete the Vault Entrance Log with the following information:
    1. Date
    2. Time
    3. Mark the Other Entry box
    4. Comments section 
      • Write retrieving client file
  3. Obtain the client file from the safe deposit storage cabinet.
  4. Review the most current safe deposit box lease contract (revision date is at the top) to verify the client is a renter. Confirm the person requesting box access is authorized to enter the box. 
  5. Obtain payment for the rent, late fees, and drilling expenses. Payment must be made with cash or good funds from a CCB account. The drilling fee is to be listed on the Safe Deposit Box Inventory/Items Found Record. Refer to the Other Services and Fees brochure.  
  6. Credit the fees to Safe Deposit Box Settlement General Ledger account number 340 170425 6315 000.
  7. Process the transaction in the Teller's work.
  8. Complete the Vault Entrance Log under dual control with the following information:
    1. Date
    2. Time
    3. Comments section
      • CCB box number
      • Drill contents
  9. Under dual control, obtain the drilled box contents from the CCB Dual Control Safe Box.
  10. Place a note on the Access Card and Vault Entrance Log that all fees are paid and the client received the drilled box contents. 
  11. Have the client write “contents received” on the Access Card.
  12. Have the client sign and date the bottom section of the Safe Deposit Box Inventory Record that is attached to the outside of the tamper-resistant bag as a receipt of the box contents.
  13. Scan a copy of the signed Safe Deposit Box Inventory Record and email to  _SupportU and _Internal Control.
  14. When the client claims the contents, place the original closed lease contract, access card, and any supporting documents with a  Closed Safe Deposit Box Cover Sheet with the daily work for imaging.
