Office Opening and Closing Procedures

Overview

Office opening and closing procedures are designed to provide the highest degree of safety for associates. Failure to follow procedures puts you and other associates at risk. Opening an office alone is NOT recommended. Any associate opening an office alone acknowledges and accepts the potential risks associated with the practice. Associates also acknowledge the importance of complying with related procedures to ensure the safety of other associates. Associates must always be aware of their surroundings and follow established procedures.

Suspicious Persons and Packages

Always be aware of unauthorized / suspicious persons or packages when opening and closing an office. If suspicious persons or packages are observed, contact a supervisor or local law enforcement agency.

 
 

Retail Offices

Situations may require an associate to open/close a retail office without a second associate present. If this situation occurs, follow the instructions in the Non-Retail and Multi-Use Office procedures tab.

All Clear Signal

Each retail office is required to have an "all clear" signal to notify associates when it is safe to enter the building. The "all clear" signal is displayed or removed after the building has been entered and reasonably inspected by the first associate opening and entering the office following established procedures.

The Lead Teller (LT) is responsible for changing the "all clear" signal at least every 90 - 120 days or more frequently, if needed. In the absence of a LT, the Client Experience Manager (CXM) assumes this responsibility. The LT, or designee, MUST e-mail each associate in the affected office when the "all clear" signal is changed (see All Clear Notification). Place a printed copy of the email in the audit notebook retained by the office.

 
 

All Clear Notification Signal Change - e-mail Template

The Lead Teller (LT) is responsible for changing the "all clear" signal at least every 90 - 120 days or more frequently, if needed. In the absence of a LT, the Client Experience Manager (CXM) assumes this responsibility. The LT, or designee, MUST e-mail each associate in the affected office when the "all clear" signal is changed.

 

The e-mail template below can be copied and pasted into a new e-mail notification when the all clear signal will be changing.

Effective Month, Day, 202X, the All Clear Signal will be:  The (Signal selected here), located in the (Location of Signal).


** This is not the complete policy; however, it should help refresh your memory on what is expected of each associate. **

 

Associates should make a visual inspection of the building perimeter upon arrival. Look for strange vehicles, loitering persons, suspicious packages and any indications of burglary or vandalism.  If anything looks suspicious, DO NOT EXIT YOUR VECHILE.  Proceed to a safe location and call local law enforcement.

If after a reasonable time the All-Clear signal has not been set, the second associate should attempt contact with the first associate to determine if there is a problem.  If the associate is unable to make contact or cannot determine if there is a problem, you should proceed to a safe location and call local law enforcement. 

 
 

Opening and Entering the Office

Prior to entering an office, associates are required to drive around the building to make a visual inspection of the outside area. Look for strange vehicles, loitering persons, suspicious packages and any indications of vandalism or burglary (for example: broken windows or doors). If anything looks suspicious, DO NOT EXIT YOUR VEHICLE. Proceed to a safe location and call the local law enforcement. When arriving early, park close to the office entrance and then move your vehicle before the office opens for business.

During a regular business day, offices should not be entered until 2 associates (buddy system) are present.

The fist associate to enter the building MUST do the following:

  1. Disarm the premises security alarm. 
    • Most offices have motion detection devices that would activate if the office has been entered by an unauthorized person during non-business hours.
  2. Perform a visual inspection of the office to determine the office is safe for other associates to enter. 
    • A reasonable visual inspection is sufficient, unless something suspicious or unusual is noticed. If you notice anything that is suspicious or unusual, exit the office and notify law enforcement.
  3. The "all clear" signal should be displayed so other associates know that the office is safe to enter. 
    • The "all clear" signal should never be displayed until the first associate determines that it is reasonably safe for other associates to enter.

The second associate(s) to enter the building MUST do the following:

  1. Wait in their vehicle until the "all clear" signal is set (displayed or removed).
  2. Proceed with caution into the office when the "all clear" signal is set.
  3. If after a reasonable time the "all clear" signal is NOT set, the second associate should attempt to contact the first associate to determine if there is a problem. If the associate is unable to make contact or cannot determine if there is a problem, the second associate should proceed to a safe location and call local law enforcement.

After entering the building, the associates should remain inside until the office opens.

 
 

Entry-Exit Doors (Opening)

Entry doors shall not be left open or unlocked to the general public prior to the scheduled opening time of an office. All associates entering the office must always swipe their own access card whether the office is open or not. Any other person must have access authorized from an associate to be inside the office.

Be alert, opening an office is a prime time to be robbed.

 
 

Entry-Exit Doors (Closing)

Entry doors must be locked at the close of business hours. All associates coming into an office after regular scheduled business hours must always swipe their own access card. Any other person must have access authorized from an associate to be inside the office. 

Be alert, office closure is a prime time to be robbed.

 
 
 
 

Non-Retail and Multi-Use Office 

Non-retail and multi-use offices may not be able to use the "2 associate" opening procedures outlined for Retail offices.

Non-retail offices include:

 

  • Capital City Services Company
  • Capital City Trust Building
  • Tallahassee Main
  • West Newberry Road


Multi-use offices include:

 

  • Metropolitan
  • North Monroe
  • West Tennessee
  • Suncoast Spring Hill
  • Alachua
  • Macon Main 


Other offices, not specifically listed, may be used as a multi-use office. If an office not listed is used as a non-retail or multi-use office, the following procedures must be followed when opening alone.

Opening - Single Associate

If anything looks suspicious, DO NOT EXIT YOUR VEHICLE. Proceed to a safe location and call the local law enforcement.

Do the following when opening the office:

 

  1.  Disarm the premises security alarm.

  4. Notify the LT/CXM/CXM II or your department manager that you have entered the building prior to normal entry times.
    • Normal entry time may vary according to the office and is defined as regular work scheduled hours.
  5. The associate should pre-arrange to contact another individual (family member, friend or another associate) to inform them that they are safely inside. 
    • If the person designated as the contact does not receive a call within a predetermined period of time, the contact person should call the office to determine the status. If there is no answer, law enforcement should be notified.

Closing - Single Associate

When closing an office without a second associate present, do the following:

  1.  Before all associates have left the office, the closing associate must move their car and park near the office entrance in an adequately lit area.
  2. The closing associate must contact another individual (for example: family member, friend or another associate) to inform them that they are leaving the office and stay on the phone with that individual until they are safely in their vehicle.

Note: If the closing associate does not have a cell phone, they must take other necessary precautions and be aware of their surroundings. Look for any suspicious activity before leaving the security of the building.

 
 
 
 

Office Premises Security Alarm

In offices with a manual premises alarm system, the last associate(s) leaving a building will set the office alarm. If janitorial personnel are the last to leave, they must be trained to set the office alarm.

In offices with an automatic premises alarm system, the alarm system will automatically arm and disarm according to programmed data. Associates must know which offices have automatic premises alarm systems, how their office system works and when it may be necessary to manually arm/disarm the system. Office management is responsible for training the associates on how the system works in their office.

Office premises security alarm equipment must be tested monthly by the Lead Teller (LT) or a designate associate.
