Secure Online Transfer Associate Procedures

Introduction

Secure Online Transfer is an online file sharing service which allows users to share and receive large files securely. Secure File Transfer Folders are NOT intended to be used for file storage. Documents received from clients need to be downloaded and deleted within 5 business days (120 hours) from receipt.

First Time Log In/Password Resets

If this is your first time logging onto the site, or you have forgotten your password, do the following:  

  1. Go to Secure Online Transfer
  2. Click Forgot? to the right of the password box.
  3.  Complete the following fields:
    • User Name: Your bank e-mail address
    • Last Name: Your last name
    • E-mail address: Reenter your bank e-mail address
 
 

Established User Log In

Follow the steps below to login to CCBG’s Secure Online Transfer Portal:

  1. Go to Secure Online Transfer.  
  2. Enter your User Name (bank e-mail address).
  3. Enter your Password.
  4. Click Login.
 

Folders

After you have successfully logged in, the far left panel displays a list of folders available labeled Your Folders.

Client Uploaded Documents 

This folder contains documents clients download for associate access. 

 

Client Downloaded Documents 

This folder contains documents from associates for clients to download.

Folders 

This section displays a list of available folders with a Content Expiry column.

  • Content Expiry: displays the expiration date for the content in contained in the folder.
  • Reminder: All data is set to expire after 120 hours (5 days). It is automatically deleted at the end of that 120 hours
 
 
 
 

Send, Receive, and Delete Files

To learn how to make secure files accessible to clients, how to give clients access to upload files for you to retrieve, and how to remove the files when you are done with them, do the following: 

How to Send Files to a Client

To upload files for your clients to access, do the following:

  1. In Your Folders, select Client Uploaded Documents.
  2. Click Add Files to Folder
  3. Click Select Files.
  4. Browse your computer for the files you need to send to the client.
  5. The screen displays the upload progress, and automatically closes once all files are successfully uploaded.
    1. To add a description to uploaded files click the Edit icon.
    2. Users with access to the folder can download any of the files before they expire by clicking the Download icon.
  6. After the files are uploaded, check the box in the column labeled Mark.
  7. Click Send Marked Files.
  8. The new window that opens allows you to generate an e-mail to send a file link to your client. Read through the accordion below to learn how to fill this out.

 

Sending a Link for Clients to Download Files.

Using the image above for reference, fill out the following fields: 

  1. To: Client's e-mail address
  2. Subject: Reference the file(s) being sent
  3. Message: Make sure to let the client know what is being sent and that you are the one sending this e-mail.
  4. Link to Expire On: This can not be set for more than 5 days.
  5. No. of Times File(s) Can Be Downloaded: Set this limit to 2
  6. Click Submit to send the link.
 
 

How Clients Retrieve Their Files

The e-mail the clients receive looks similar to the image below.

  • When the client clicks on the link in the e-mail, they are directed to the Secure Online Transfer website.
  • A screen directing clients to pick up their files, including a list of available files, appears. 
  • To download the files, click each file link
 
 
 
 

Setting Clients Up to Upload Files (Receiving Files)

Before a client can send secure documents to you, they need to be set up in Secure Online Transfer. Follow the instructions below to set them up.

  1. Under Your Folder select Client Uploaded Documents.
  2. Click Send Link.
  3. On the new screen fill out the form with the clients name, e-mail address, and a personal message. The name and address fields are case sensitive. Make sure they are entered the way the client has requested.
  4. The e-mail the client receives contains a link for them to click to access the system. Note: If the client does not receive their e-mail, ask them to check their spam folder.
  5. When the client clicks the link in their e-mail, they are directed to a Secure Online Transfer screen. 
  6. The client must fill out the following. (Note: Having the client re-enter the e-mail addresses is an added level of security by verifying the link was sent to the correct client.)
    1. Name: Client's name
    2. E-mail: Client's e-mail address
    3. Intended Recipient: Your (sender's) e-mail address
    4. Description: A description of the file(s) being sent.
  7. The client adds the files by clicking Select Files. Then they can browse their computer to add them to be uploaded.
  8. To upload the files to the system, the client needs to click Upload Files.
  9. Once the client has uploaded the files, you receive an e-mail notifying you a file has been uploaded to your folder.
  10. Go to Secure Online Transfer.
  11. Open the folder Client Uploaded Document.
  12. Download the files from your client. 

Reminder: Files automatically delete in 5 days (120 hours)

 
 

Deleting Files

Once you or your client have successfully downloaded the files you can manually remove them by deleting them.

  • Go to the appropriate folder.
  • Locate the files you wish to download and click the box next to the file name.
  • Click Delete Marked Files.
 
 

Audit Trail

To access a report that details the information of the file and when a document(s) was uploaded, downloaded, or deleted from the system, use the File Audit Trail.

To run the report click File Audit Trail in the bottom left corner of the screen.
