Single Hopper Instant Issue Machine

Follow these rules to maintain the CR825 machine:

  • Avoid overheating the machine. Do not place heat generating devices near the machine.
  • Avoid contact with the following:
    • Organic solvents, such as alcohol, film cleaner, diazo paper, etc.
    • Soft vinyl chlorides and erasers
    • Cosmetics, lotions, and hair products
  • Do not introduce foreign objects (for example: pens, pencils, paper clips) into the machine.
  • Never use compressed air in, on, or around the machine.
  • Always wash your hands and handle cards by the edges, if not wearing approved gloves.
  • Keep a spare ribbon on hand, just in case.

Opening the Machine

Open the CR825 machine using Entrust with authorization from two separate users, one with override capabilities (usually a Client Experience Manager (CXM)).  Machines will be opened to load card stock, remove in-machine rejects, and perform maintenance.

Note: If a user with override capabilities is not present, use the barrel key to open the machine.

To open the machine, do the following:

  1. If Entrust is not running, log in to Entrust.
  2. Click Operations > Open Card Machine.
  3. Select Device - CR825.
  4. Enter the network username and password of a an Entrust user without override capabilities. 
  5. Click OK.
  6. Enter the network username and password of an Entrust user with override capabilities.
  7. Click OK.
    • Note: The machine has a 10-second unlock delay, beginning from the time it is completely authorized. It remains unlocked for only 15 seconds. 
  8. Open the side door and card hopper immediately.
 
 

Cleaning Schedule

If your CR825 machine frequently creates quality-rejected cards, it may be time to clean your machine.

As necessary, do one or more of the following:

  • Run the lint roller under the blue ribbon. 
  • Use the cleaning cards (isopropyl alcohol card followed by the sticky card).
  • If lines appear on a debit card, clean the print head using the wand.

To maintain the highest print quality, clean the CR825 machine according to the following schedule:

Task How Often? Steps

Cleaning sleeve (lint roller)
 

Once per quarter / every 200 cards / every ribbon change and during the cleaning cycle
  1. Remove the wand.
  2. Discard the used roller. Keep the wand.
  3. Replace with new roller.
  4. Remove the paper cover.

Cleaning card (sticky card)

 

Every 200 cards / with ribbon change and debris printed on cards
  1. Peel paper from one (1) side of the card
  2. Clean the printhead cam rollers.
  3. Insert the card into the hopper exception slot.
  4. Start cleaning cycle on LCD Menu.
  5. Repeat steps 1, 3,and 4 with second side, if cleaning to improve print quality.

Every 200 cards
With ribbon change
  1. Remove the card from the packaging.
  2. Insert the card into the hopper exception slot.
  3. On LCD menu, start cleaning cycle.
  4. Repeat steps with another card if the cleaning card exits very dirty.

Printhead

With ribbon change and diminished print quality (white lines on cards)
  1. Remove cleaning swab from packaging.
  2. Remove print ribbon cartridges from machine.
  3. Gently clean printhead with swab.

Printhead

Diminished print quality not improved by swabbing the printhead
  1. Remove lapping stick from packaging.
  2. Remove print ribbon cartridge from machine.
  3. Gently clean printhead. 
* The machine's immediate environment, the kind of card stock, and how often you print cards drives how often you have to clean the machine. 
 
 

Changing Ribbons

The CR825 requires two ribbons - one color (blue) and one retransfer (yellow). Ribbons must be changed approximately every 500 cards. Entrust alerts you when the ribbon life is low.

The color and retransfer ribbons must be changed individually. Replace both ribbons at the same time. 

  1. Using Entrust, open the machine.
  2. Open the printer access door.
  3. To remove the color (blue) ribbon, press the ribbon cartridge release button.             
  4. Place the cartridge on a flat surface with the spindles facing up.
  5. Replace the cleaning sleeve (lint roller).          
  6. Remove both used spools from the cartridge.
    1. Press the blue latch button and slide off the used supply spool.
    2. Press the silver latch button and slide off the full spool.
    3. In the Destruction log, log the color (blue) ribbon.
      • Inventory and destruction logs have a retention period of 2 years.
    4. Under dual control, immediately destroy the color (blue) ribbon . 
    5. Remove the ribbon from the spool and place in shredder.      
  7. Clean the machine with the cleaning card
  8. Remove the new inked color (blue) ribbon from the package. Hold the ribbons by the core.
  9. Install the new inked color (blue) ribbon.
    1. Slide the blue supply spoon onto the cartridge. 
    2. Click into place.
    3. Route the ribbon around the rollers.
    4. Slide the empty silver take-up spool onto the cartridge.      
  10. Replace the cartridge. 
  11. Click in place.
  12. To lock the machine, close the printer access door.

Loading Cards 

Instant Issue card stock is required to be kept in a dual control environment (vault or dual control business card box) except what is loaded in the machine.

Load debit cards in the following circumstances:

  • Before you issue cards for the first time 
  • Low stock alert (5 cards remaining)
  • Empty stock alert (0 cards remaining) 
  • After weekly balancing, if you have fewer cards left than usual for the week, load more cards.
  • When prompted to load a Business Card.

Consumer/Personal Debit Cards

Note: The machine must be unlocked to load cards into the hopper.

To load consumer/personal debit cards into the CR825 machine, do the following:

  1. Using Entrust, unlock and open the machine.
  2. Open the input hopper drawer. 
  3. Load 25 cards into the input hopper, handling the cards by the edges or by using gloves.
  4. Insert the cards with the chip facing up and toward the back of the hopper. Note: A diagram inside the input hopper shows the correct orientation for loading card stock. 
  5. Close the hopper. 
  6. Loaded cards must be recorded in Entrust using Inventory Post Activity to maintain balanced inventory.
  7. To reorder card stock, contact Deposit Services at _Deposit Svc - Instant Issue Card Stock.
 
 

Business Debit Cards

To load business debit cards into the machine, do the following

 

  1. The system prompts you to insert the business debit card.
  2. Under dual control, access the Dual Control Business Card Box.
  3. Remove 1 business card and re-lock the Dual Control Business Card Box.
  4. Insert the business debit card, UNDERNEATH the previously loaded cards, in the machine opening until you hear a click.   
  5. Press the orange light on the front of the machine.
  6. Once the light turns green, the business card prints.
 
 

 

 
 

Clearing the Reject Bin

The CR825 machine automatically rejects some cards, usually due to chip defects. Rejected cards are stored in the reject bin. The bin’s capacity is 5 cards.

Remember: If the reject bin is full, it must be cleared before you can issue any more debit cards.

To clear the in-machine reject bin, do the following:

  1. Using Entrust, open the machine.
  2. Open the printer access door.
  3. To access the reject bin, remove the yellow ribbon cartridge. 
  4. Remove the rejected cards from the bin.
    • Note: Do not remove the reject bin from the machine. 
      Replace the yellow ribbon cartridge. 
  5. Close the printer access door to lock the machine. 
  6. In the Destruction log, record the cleared cards. 
    • Inventory and destruction logs have a retention period of 2 years.
  7. Immediately destroy the cleared cards under dual control.
