If you find anything in the privacy booth or vault area, do not throw it away. Take any found items to your manager immediately so a proper report and inventory can be performed. Found items must be properly documented under Dual Control before a client can access the privacy booth.
If an associate or client finds an item(s) left in a booth or the vault area, do the following:
- Immediately deliver all item(s) to your Client Experience Manager(CXM) or an Officer of the bank.
- Perishables, such as food or flowers, may be disposed of in an appropriate manner, without further documentation.
- The Officer or CXM and the associate who found the item(s) must complete the Safe Deposit Inventory Record with the following information:
- A description of the item(s) found
- Note: When describing items be very cautious. Do not describe an item as a diamond solitaire ring; instead, describe the item as a ring with a yellow band and a white stone
- Date, time, and place found
- All other information regarding the items
- A description of the item(s) found
- Make a copy of the Safe Deposit Inventory Record.
- Scan the Safe Deposit Inventory Record and send it to _SupportU.
- Place the found item(s) and the original Safe Deposit Inventory Record in a tamper-proof bag.
- Seal the bag and attach a copy of the Safe Deposit Inventory Record to the outside of the bag.
- Place the bag in the vault under Dual Control.
- Make an entry to the Vault Entrance Log with a brief description of the item(s) found.
- Do not include a detailed description of the item in the Vault Entrance Log. Simply say ring, watch, or various coins.
- If the owner of the item(s) can be identified, contact the client to make arrangements for them to come in and retrieve the item(s).
- If the owner of the item(s) cannot be identified, the bag containing the item(s) must remain in the vault under Dual Control until claimed by the owner or escheated to the state as abandoned property under our normal procedures.
- When the client picks up the item or the item is escheated to the state, the bottom portion of the Safe Deposit Box Inventory Record must be signed to indicate the final disposition of the item (for example: client signs for receipt of item or item escheated to state).
- Record the final disposition in the Vault Entrance Log.
- Email copies of the signed Safe Deposit Inventory Record send the disposition of the item to _SupportU and _ES Recon Group.
