Requesting Officer Code Changes for CIF, Deposit Accounts, Account Analysis Statements

To request a list of accounts under the current officer code, e-mail the request as below.

Individual or Multiple Accounts Under Same CIF

To request officer code changes for these accounts or relationships, do the following:

  1. Create this Synapsys Service Event: Deposit Services > DS Officer Code Change
    • For multiple accounts under the same CIF:
      1. Click the Associated Account accordion. 
      2. Select all accounts changes are to be applied to. 
         
    • Do not submit separate service events for each account.
  2. If the account does not have an officer code on it, no approval is needed. Skip to step 4.
  3. An account with a current officer/associate code requesting to be changed to another officer/associate requires the approval of both the associate being removed and the new officer/associate's manager.
  4. Submit the service event.

Note: When performing officer code changes on more than 2 different CIF records, follow the procedures for Multiple Accounts Under Separate CIFs.

 
 

Multiple Accounts Under Separate CIFs

The examples below are common reasons for requesting officer code change requests on multiple accounts under separate CIFs:

  • Associate leaves the bank or retires
  • Associate transfers to a position no longer requiring account assignment
  • Multiple accounts assigned undesignated (100) code within a specific officer requiring officer code assignment

 

Requesting an Account List

Based on the officer code, Credit Administration or Sales Management will return a list of accounts to be reviewed for new officer code assignments. These may be designated for another associate with an officer code or revert back to the undesignated (100) code.

 

Submitting the Change Request

The division head must approve Multiple Client CIF requests based on the current officers' assigned code. 

  1. Update the account list with the following information:
    • Account number
    • New officer code assignments
    • Division head approval
    • If accounts are transferring between markets and/or divisions, approval of both division heads is required.
  2.  Forward the list with accounts to change to the appropriate e-mail address.
  3. Once maintenance is completed, the division head is notified.
 
 

Portfolios

To request officer code changes for deposit portfolios, do the following:

  1. The division head approves the portfolio change.
  2. The division head e-mails one of the departments below: 
  3. If the re-assigned accounts are transferring to a different market or division, obtain approval from both division heads.
  4. If all accounts are changing to 1 officer code, Credit Administration/Sales Management requests a mass maintenance through Client Software Support. The fee for this service is billed to the department requesting the change. 
  5. If the portfolio will be divided among more than one officer code, the request is processed as a Multiple Account change request.
 
 

Monitoring

  • For numeric officer codes, Credit Administration generates an officer code report approximately 30 days after an associate has left the bank and forwards this to the corresponding division head.
  • For alphabetic/alphanumeric officer codes, Sales Management coordinates the generation of an officer code report with the division head. (See the Multiple Accounts accordion.)
