Adding Joint Renters
An authorized renter of a Safe Deposit Box (SDB) may request the addition of a joint renter. Another renter may be added to a box if all current renters authorize the addition by executing a revised SDB lease contract.
Joint Renter Present
To add a renter to an existing SDB, do the following:
- Identify the client. Refer to Identification Verification Procedures.
- Verify the information in the Client Information File (CIF) record.
- Update the client’s CIF record if the identification information is not displayed or is invalid.
- Review the current SDB contract to determine if the client paid the key deposit.
- Recall the box in the system. Add the new renter, complete Verafin, and complete the SDB Lease Contract.
- Indicate Add Renter as the revision reason. The revision reason and the revision date will print on the revised SDB contract.
- If the client did not pay a key deposit, remove this amount from the key deposit field on the screen.
- To locate the original safe deposit box key amount charged on an existing safe deposit box account, click here.
- Print the revised contract. Note: 3 copies will print.
- Verify the information before asking the clients to sign the 3 printed copies. All joint renters must sign the revised SDB contracts. Note: Safe Deposit Box contracts will not be accepted with any handwritten information or contingency language added by a client.
- Give the client(s) 1 copy of the signed lease contract.
- Retain 1 signed copy for the client’s file in the SDB storage cabinet.
- Staple the new lease contract on top of the old lease contract and retain it in the client's SDB file
- Create a new access card listing all renter's names. Write the revised date on the top right corner of the card.
- Staple the new access card on top of the old access card(s) and retain it in the client's SDB file
- Place 1 copy of the lease contract and a copy of the new access card, along with all accompanying documentation with the daily work for imaging following the Document Imaging Procedures.
Joint Renter Not-Present
- Identify the client. Refer to Identification Verification Procedures.
- Verify the information in the CIF record.
- Update the client’s CIF record if the identification information is not displayed or is invalid.
- Recall the box in the system. Add the new renter, complete Verafin, and complete the Safe Deposit Box Lease Contract.
- Indicate Add Renter as the revision reason. The revision reason and the revision date will print on revised safe deposit box contract.
- If the client did not pay a key deposit, remove this amount from the key deposit field on the screen.

- Print the revised contracts. Note: 3 copies will print.
- Obtain the signatures of the clients present in the office on these contracts.
- The clients present will take all 3 of these revised contracts to obtain the signature(s) of the missing renter(s).
- The clients must return 2 copies of the revised contract before the name(s) of the added renter(s) will be added to the box. Note: Safe Deposit Box contracts will not be accepted with any handwritten information or contingency language added by a client.
- The client(s) who is not present will need to have their signature notarized and return the SDB contract and the notarized Safe Deposit Acknowledgment Certificate to the bank.
- A separate notarized Safe Deposit Acknowledgment Certificate must accompany each added signature to the SDB lease contract.
When the client returns the 2 copies of the revised SDB Lease contract, do the following:
- Retain 1 signed copy for the client’s file in the SDB storage cabinet.
- Staple the new lease contract on top of the old lease contract and retain it in the client's SDB file
- Create a new access card listing all renter's names. Write the revised date on the top right corner of the card. Note: The Access Card does not leave the bank.
- Staple the new access card on top of the old access card and retain it in the client's SDB file
- Place 1 copy of the lease contract and a copy of the new access card, along with all accompanying documentation with the daily work for imaging following the Document Imaging Procedures.
- File the remaining copy of the lease contract, the new access card, and any accompanying documents in the client’s file in the SDB storage cabinet.
NOTE: For ALL revised box rentals, image the front of a complete and signed SDB lease contract and new client access card before placing it in the client's SDB file folder.
Deleting Joint Renters
When a box is rented jointly and one renter wishes to be deleted, the contract must be revised to delete the renter. A revised SDB Lease Contract and Access Card must be prepared for the remaining renter(s). All remaining renters are required to sign the revised contract. The revised contract will show the original date the box was rented. The date the renter was deleted will be the revision date.
Joint Renters
- Identify the client. Refer to Identification Verification Procedures.
- Obtain and record valid identification to verify the client requesting the deletion is an authorized renter of the box.
- Determine if the key deposit was paid by reviewing the SDB contract.
- Recall the box in the system and remove the renter.
- Complete the SDB lease contract.
- Prepare a revised SDB Lease Contract and revised Access Card listing the remaining renters.
- Write the revised date on the top of the new access card.
- If the client did not pay the key deposit, delete this amount from the key deposit field on the screen.

- Print the revised contract. Note: 3 copies will print.
- Verify the information before asking the clients to sign the 3 printed copies. All joint renters must sign the revised SDB contract.
- Give the client(s) a copy of the lease contract.
- Retain 1 signed copy for the client’s file in the SDB storage cabinet.
- Staple the new lease contract on top of the old lease contract and retain it in the client's SDB file
- Create a new access card listing all renter's names. Write the revised date on the top right corner of the card.
- Staple the new access card on top of the old access card and retain it in the client's SDB file
- Place 1 copy of the lease contract and a copy of the new access card, along with all accompanying documentation with the daily work for imaging following the Document Imaging Procedures.
- File the remaining copy of the lease contract, the new access card, and any accompanying documents in the client’s file in the SDB storage cabinet.
Deceased Joint Renters
- Identify the client. Refer to Identification Verification Procedures.
- Obtain and record valid identification to verify the client requesting the deletion is an authorized renter of the box.
- Make two copies of the original certified death certificate.
- Complete a revised SDB Lease Contract and Access Card.
- Indicate Remove Renter as the revision reason.
- The revision reason and revision date will print on the revised contract.
- If the client did not pay the key deposit, delete this amount from the key deposit field on the screen.
- Have the remaining renters sign the revised contract and access card.
- Create a Deposit Services Safe Deposit Box General Maintenance Service Event in Synapsys listing the name to be deleted.
- Provide the client with a copy of the revised SDB Lease Contract.
- Create a new access card with the new renter's name. Write the revised date on the top right corner of the card.
- Staple the new access card on top of the old access card and retain it in the client's SDB file.
- Place 1 copy of the lease contract and a copy of the new access card, along with all accompanying documentation with the daily work for imaging following the Document Imaging Procedures.
- File the remaining copy of the lease contract, the new access card, a copy of the death certificate and any accompanying documents in the client’s file in the SDB storage cabinet. Refer to the Deceased Client section for individually rented boxes.
NOTE: For ALL revised box rentals, image the front of a complete and signed SDB lease contract and new client access card before placing it in the client's SDB file folder.
